Viewing your Emails

You must already have an email account setup using your hosting service Control Panel.

This email will have an email address with yourname@yourdomain.co.uk or similar as well as a password.

Email Web Portal

You can view your emails online at your email web portal

Log In to WebMail at: https://yourdomain.co.uk/webmail

 

Email Address: email address

Password: password

 

This is where you can view and create new emails as well as manage your email account.

 

To view or create emails, click the Open button in the roundcube box section - which is under the heading 'Open your inbox'

 

Set up email on your Phone or Tablet

Log into WebMail as described above

Once you are logged in you can use the "Setup email on your device" Wizard.

Note: Only use this if you have another email already setup on the device

Select the device - either Apple or Android

Enter the email address already installed on the device.

Choose the items you wish to Sync with this email account:

Email (always choose this one)

Calendar

Contacts

 

Note: If you already sync calendar and contact items using another email account then please leave the Calendar and Contact items unchecked.

Most users will already be syncing their Calendar and Contacts with one of the following email accounts:

  1. Google (Google Account) - popular with Android phone users.
  2. Apple (Apple ID) - popular with Apple phone users
  3. Microsoft (Microsoft Account) - popular in corporate environments

 

Set up email account on your Computer or Laptop

The settings are:

 

Email Address: email address

Password: password

Choose your account type: POP3 or IMAP

POP3

POP3 is best to use on a computer or laptop. A POP3 account can delete email from the server. Usually your usage quota on your hosting service is limited and this helps to keep it low. This account type downloads your emails from the hosted server and stores all your email on your computer and at the same time deletes those emails from the server. Here you can specify how many days or weeks from the time a send and receive process is performed to leave on the server so that your mobile device will still be able to download the most recent email.

IMAP

IMAP is best to use on a phone or tablet. IMAP synchronises your email WITH the server and only removes the email once the email is deleted on your phone, tablet or computer. As many users do not delete emails, some of which have large attachments, this can result in your hosted storage limit to be reached very quickly and may require an upgrade to your hosted service for a higher storage limit.

The advantage of IMAP is that it also synchronises your sent emails and email folders with the server and these will then be reflected on your mobile device too.

 

Server names

Incoming Server: mail.yourdomain.co.uk

Outgoing Server: mail.yourdomain.co.uk

 

Login Information

User Name: email address

Password: password

Tick "This server requires an encrypted connection (SSL/TLS)

If you used POP3: 995

If you used IMAP: 993

 

Outgoing server

Use the following type of encrypted connection: SSL/TLS

Outgoing server (SMTP) port no: 465

 

Delivery

For a POP3 account this where you setup how a Send and Receive action manages and removes email on the server.

Recommended Settings to use

Leave a copy of messages on the server

Remove from server after 14 days

Remove from the server when deleted from 'Deleted items'.
